Registration and Presentations

Requesting Time for Presentations and Discussions

VQEG welcomes presentations and discussions of state-of-the-art research to progress projects and first-time attendees. We recommend 5 to 15 minutes for the presentation and 5 to 15 minutes for discussion.

Deadlines

The VQEG Board will meet 4 months, 2 months, and 2-weeks before meetings to schedule topics, discussions, and presentations. To facilitate discussions, VQEG will cut off the number of presentations and discussions when the schedule is full.

The VQEG Board will prioritize in-person presentations and discussions.

Abstracts

Include a short description of your presentation or discussion topic. The VQEG Board will use this abstract when scheduling presentations.

Discussion Topics

List issues you want to discuss and estimate the time needed for these discussions. In contrast to conferences, VQEG meetings emphasize discussions among attendees on issues raised by presenters.

Working Group Coordination

Attendees are strongly encouraged to coordinate their presentation and discussion proposals with the chair of the appropriate VQEG working group. This will help the working group chairs plan time slots and choose discussion topics.

Time and Date Requests

The VQEG Board will only consider time and date restrictions for presentations that are registered well in advance of an online meeting.

Logistics

Sessions will span a business day in the host's time zone (e.g., 9:00 am to 6:00 pm). Details coming soon.

Call-in details will only be emailed to registered participants. Discussions will prioritize in-person participation.

During Sessions

Recording

VQEG will record all sessions. Inform the session chair or meeting host if your presentation cannot be recorded (e.g., due to licensing terms on media included in the presentation).

Minutes

Information from the presentation Google Sheet will be inserted into the minutes (e.g., VQEG group, presenter names, title, and abstract).

Otherwise, the minutes will focus on (1) decisions, (2) topics discussed, and (3) people involved in the discussion. The goal is to facilitate continuations of these discussions offline or at Working Group online meetings, including involvement from people who could not attend or would prefer private conversations.

Meeting Files

Meeting Files will be posted here. Select the meeting year and date to expand.

Email your meeting files to Margaret Pinson. Include your presentation or discussion ID number. Name your slides with the VQEG naming convention, described below. These names are provided in the presentation list.

The file name must begin with the VQEG standard prefix: VQEG_<group>_2022_<id>_ where <group> is the VQEG group (e.g., AVHD, NORM) and <id> is the ID number provided by VQEG (see the presentation Google Sheet).
